Can i delete notes on my pen?

Hi there!

Can i delete notes only on my pen, but still have them on livescribe desktop?
I have an 4GB echo smartpen. I wonder what will happens when i have used all of my 4GB. Can i then erase my pen, and then still have them in livescribe desktop, or do i seriously have to buy a new pen? ;-)

Hi Holger,

You most surely do not need to purchase a new pen once your current one is full.  

When you have finished using a Livescribe dot paper product, you should archive it in Livescribe™ Desktop to free up memory on your smartpen. You also can delete archived notebook pages and archived notebooks from Livescribe Desktop by following the instructions below.
 
NOTE: If you decide to archive a notebook that has blank pages remaining, you can still write in the physical notebook even after it has been archived (you do not need to discard it). When you connect your smartpen to transfer your new notes, that notebook will re-appear in the active notebook section of Livescribe Desktop, and the additional pages you wrote on will appear as thumbnails when the active notebook is selected.
 
 
IMPORTANT: Archiving a notebook deletes your notes (ink data) and audio from your smartpen. Because of this, your smartpen will no longer interact with the physical Livescribe™ dot paper product that you archived. That is, when you tap the notes in your archived physical notebook, the smartpen will not play back any audio.
 
 
Archiving Notebooks
 
To archive a notebook:
 
1.       Open Livescribe Desktop.
2.       Dock the smartpen you are removing the notebook from.
 
NOTE: You must dock the smartpen that contains the notebook in order for the archive option to be available for that notebook.
 
3.       After any new notes or sessions finish transferring click the notebook you want to archive from the notebook list in the left Navigation window.
4.       Choose File Archive Notebook…
 
Windows users
 
When prompted with “You are about to archive ‘<notebook name>’.” click OK to confirm the archive operation, otherwise click Cancel.
 
Windows and Mac users
 
When prompted with the archive warning message, click Archive if you still want to archive the notebook. Otherwise click Cancel.
 
5.       Once Livescribe™ Desktop finishes the archive you will see the archived notebook in your “Library” tab in an “Archived Notebooks” group (Windows) / under your smartpen name labeled as “[Archived] <notebook name>” (Mac).
 
 
Deleting Archived Notebooks and Pages
 
You can delete an archived notebook or selectively delete its pages.
 
IMPORTANT: Deleting an archived notebook or archived pages removes the following:
 
         Pages (and optionally audio) for that notebook entirely
         Associated pages from Custom Notebooks (Custom Notebooks are not copies, but instead are shortcuts to the source pages of an active or archived notebook).  
 
 
To delete an archived notebook:
 
1.       Select an Archived Notebook from the notebook list in the left Navigation window.  
2.       Choose File > Delete Notebook...
3.       Click Yes (Windows) / Delete (Mac) to confirm the deletion.
 
NOTE:
 
Windows users
 
If there is audio associated, at the prompt choose if you also want to delete the notebook’s audio. If you do then click Yes to confirm the deletion.
 
Mac users
 
There is no option to retain the audio. Once the notebook is deleted the audio will be deleted as well.
 
 
To delete archived notebook pages:
 
1.       Select an Archived Notebook from the notebook list in the left Navigation window. 
2.       Select one or more page to be deleted. You can use the Ctrl and Shift (Windows) / command (Mac) keys to multi-select.
3.       Choose File > Delete Page(s) (Windows) / hold the control key down, click on a selected page, and select Delete (Mac).
4.       Click Yes (Windows) / Delete (Mac) to confirm the deletion.
5.       If there is audio associated, at the prompt choose if you also want to delete the notebook’s audio. If you do then click Yes (Windows) /Delete (Mac) to confirm the deletion.

Is archiving a notebook the only way to free up space on a pen?  My 1 GB pen is nearly filled up and I need more space, but the notebooks I'm using to capture my notes is no where near full.   Isn't there just a way to keep the notes and audio in Livescribe Desktop without archiving, while freeing up space on the pen?

 

This is WAY more complicated than it has to be for a routine task.

Hi Robert,

You can archive a notebook even before you are finished using all the pages.  The only difference is that the archived data within that notebook will no longer be accessible on your smartpen just as you pointed out (the data will still be accessible within Livescribe Desktop).  You can continue using the rest of the pages within the notebook but when you transfer the data to Livescribe Desktop, the new data will show up as a new notebook (the archived data will show up in the archived section).

Also, you can delete audio recordings to free up space if you still want certain audio from a notebook on your smartpen.

Is it possible to archive only specific pages of a notebook so that some pages are no longer on the smartpen, but other pages remain active on the smartpen?

Starting a new semester at school, I wanted to finish a notebook. I meant to archive the notebook so that I could more readily keep the semesters and different classes separate in LD to make it easier to locate the start of the new semester for each class. I failed to archive before starting school, and have 4 days worth of notes that I want to keep active on my smartpen.

I bought an Echo smartpen recently and use rough pages to play around with it and show people, which I've then torn out of the notebook. I've also got a 3 hour audio file from a meeting. Is it not possible to delete these pages from my PC, or remove the audio file from the pen? 'Archiving' doesn't sound very flexible!

Hi Graham,

There is currently no way to delete individual pages but you do have the capability to delete individual audio sessions.

NOTE:   If you delete sessions off of your smartpen AND Livescribe Desktop, they will be permanently removed. There is no way to recover this data once it is deleted. However, if you have already uploaded your sessions from the Livescribe Desktop to Livescribe Online (MyLivescribe), you can continue to replay your notes online.
 
 
Deleting Sessions
 
 
Windows Users:
 
1.       Open Livescribe Desktop.
2.       Dock your smartpen to the USB charging cable.
3.       Click the “Audio” button (upper left).
 
 
To delete sessions off of your smartpen:
 
1.       Select the session(s) you want to delete. You can multi-select using your keyboard “Shift” or “Ctrl” keys.
2.       Right-click on the selected session(s) and select “Remove Audio from Smartpen…”
3.       You will be prompted to confirm you want to delete the session. Click “OK” and you will receive a confirmation in the main message bar of the removal of your session(s).
 
 
To delete sessions off of your Livescribe Desktop:
 
1.       Select the session(s) you want to delete. You can multi-select using your keyboard “Shift” or “Ctrl” keys.
2.       Right-click on the selected session(s) and select Delete Audio from Livescribe Desktop…”
3.       You will be prompted to confirm you want to delete the session.  Click “OK” and you will receive a confirmation in the main message bar of the removal of your session(s).
 
 
Mac Users:
 
1.       Open Livescribe Desktop.
2.       Dock your smartpen to the USB charging cable.
3.       In the left side-bar click the “>” arrow to expand “AUDIO” and click on “Sessions”.
 
 
NOTE:   You must FIRST delete the session from your smartpen and THEN delete the session from Mac Livescribe Desktop.
 
 
To delete sessions off of your smartpen:
 
1.       Select the session(s) you want to delete. You can multi-select using your keyboard “shift” or “command” keys.
2.       Press your “control” key, click on the selected session(s), and select “Remove Session(s) from Smartpen…”
3.       You will be prompted to confirm you want to delete the session. Click “Remove” and the session(s) will be removed.
4.       Click “OK”.
 
 
To delete sessions off of your Livescribe Desktop:
 
1.       Select the session(s) you want to delete. You can multi-select using your keyboard “shift” or “command” keys.
2.       Press your “control” key, click on the selected session(s), and select “Delete Session(s) from Livescribe Desktop…”

I really wish I had known this before I bought my pen, because it would certainly have made me have second thoughts about Livescribe.  This is a horrible process.  It should be right at the top of your list for improvements to the product.

I’m travelling right now and forgot to bring the USB cable to dock my smartpen in my computer (I do have a battery charger that I bought separately) and I’m not in a place where I can get a livescribe USB cable. 1) Can I get in a computer store a USB cable that will fit my smartpen (if so, does this cable have a generic name?) or is the plug to it special only to smartpen? 2) is it possible to delete data from smartpen without using the USB cable (e.g. using the notebook)?  Thanks, Bioy

Hi Eitan,

The Pulse smartpen has a very specific USB charging dock that is not sold elsewhere but if you have an Echo smartpen, you should have no trouble finding a micro-USB cable at the local electronics store where you are travelling.

Priscilla, I've been using my pen on two machines, one at home and one at work, with two Livescibe Desktops... when archive a note book on one machine, how does that effect the notebook on the other Livescribe Desktop?

Hi Darren,

If you archive your notebook on one machine you will have to archive on the other machine also.  If you make a change on one machine you will have to have to make the same changes to the other.

We use Livescribe pens for college students with disabilities.  Each semester they return the pen and it can be checked out to a different person the next semester.  What is the quickest way for me to clear student 1's notes so the devise will be ready for student 2? The option to Archive is not highlighted after the notes transfer to my computer. Is there a "factory reset" option or something quick like that?

Hi Leanne,

The smartpen must be attached to the computer when you want to archive a notebook.  If the option to archive is still not available when the pen is connected, please contact cs@livescribe.com for further assistance.

 

An alternate way of removing data from the smartpen is to Master Reset it.  This will reformat the pen and install the newest FW onto the smartpen.  Here are links to Windows and Mac versions of the Master Reset tool:

I have an Echo pen, You mention that all content of the pen can be saved to MyLivescribe for access at any time. If the contents of the pen have been downloaded to Evernote previously can they also be downloaded to MyLivescribe? I have tried to download to MyLivescribe but am told there is nothing to download.

This solution metnion at the top does not work for me. Archive and Delete under the fiel menu are light grey and can't be selected. I can see /hear my pages but can't remove any on them. What is wrong?

Hi Cherry,

In order to use the archive and delete options in Livescribe Desktop, you must connect your smartpen.  Once your smartpen is connected and detected by Livescribe Desktop, the options should become active.

I have a similar problem - I have my 3rd Livescribe pen - I started with a Pulse 2GB, then a Puls 4GB, and have an Echo now. My main use of them was for writing, I hardly ever recorded anything. But I have dozens of "test" audio session remaining from my past Livescribe pens - stored with old notebooks that I need, but I don't need the pages of junk "audio sessions". 

Now, as I was starting to use audio notes for real, I wanted to get rid of the old audio notes first. Problem is that it seems it's IMPOSSIBLE. Once I have some junk in Livescribe Desktop and the pen is gone (I gave away my old smartpens to friends) I AM STUCK WITH THE JUNK AUDIO NOTES FOREVER... it seems like.

This is because the ONLY way I can see to delete them from Livescribe Desktop is to delete them from the pen first. To delete them from the pen, I have to connect the pen, which I no longer have.

So... is it for real? Am I stuck with the junk forever...?

Hi Robert,

Unfortunately, that is correct.  In order to remove an audio sessions from Livescribe Desktop, you must first connect your smartpen and remove it from your pen.  Since you no longer have that pen, there is no way to remove specific audios files related to that pen.  You can, however, rename your Livescribe data folder but this would allow you to only transfer data currently on the smartpens you have at this time.

Thank you for your reply. I was afraid you were going to say :-( This reminds me of Windows telling me I can't delete files because the hard drive is full...

Livescribe is a few years old now, and I can see a lot more people upgrading to newer models, which leaves them with an ever growing database of information they will never be able to delete files from. Which is the computer equivalent of psychosis: people go insane when they can't get something out of their head.

Personally, this makes me reconsider using the audio recording feature at all - due to the combination of automatic file names (so I don't know what a file really contains, just a date) and the fact that the unnecessary ones from earlier pens can't be deleted, it just seems much less attractive now...

PLEASE talk to the developers about it... it is not logical and completely unnecessary to intentionally block the ability of deleting old files when the user no longer has an older pen. It just seems like a decision they made early on when people going through multiple smartpens, new models coming out, etc. wasn't an issue. I think this "feature" is ripe for a review now.

Hi,

 

I also have a 4GB Livescribe Echo Smartpen. I deleted all my audio files via. LiveScribe desktop by simply clicking the delete button. Does that mean it has been wiped off both my pen and the livescribe desktop?

I deleted the audio recordings from the smart pen only and not livescribe desktop. These audio recordings that were deleted from the smart pen are now not showing on my list yet I did not make a selection for the audio recordings to be deleted from livescribe desktop. I hope I can get back the audio recordings.

Hi Michael,

Are you sure you're using the same computer you used to previously transfer all your data to?  If so, your audio recordings will be in tact if you deleted the audio by using pen and notebook.  If you used Livescribe Desktop to delete the audio, there is a possibility you may have accidentally chose to delete it both from Livescribe Desktop and your smartpen.  In the latter case, there is now way to get back the audio unless you have a backup you can restore.

Hi Priscilla,

Yes I am using the same computer and I did select to delete the audio recordings only from the smartpen. I remember I was especially careful about this as I had read in the forums that once deleted from both the desktop and pen then one cannot retrieve them.
